Overview
This Privacy Notice describes the information collection, use and disclosure practices of Insure Orlando (“we,” “us,” “our,” or the “Company”) in connection with insureorlando.com, our public consultation form and communications you initiate with our team (collectively, the “Platform”).
We provide insurance information and assistance to consumers and work with licensed insurance agents, insurance carriers and other organizations involved in insurance products and services. We may also receive consumer inquiries from lead vendors or other referral sources. When a third party provides us a consumer inquiry, that party is responsible for obtaining any consent required for the consumer to be contacted.
“Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked with a particular person or household.
Applicability of HIPAA and GLBA
Because insurance transactions can involve health or financial information, some information may be governed by other federal or state privacy frameworks, including the Health Insurance Portability and Accountability Act (“HIPAA”), the Gramm-Leach-Bliley Act (“GLBA”), and related laws.
If we receive Protected Health Information (“PHI”) on behalf of a health plan or other HIPAA Covered Entity in a role that makes us a Business Associate, our collection, use and disclosure of that PHI is governed by the applicable HIPAA requirements and contractual obligations. For information about a health plan’s use and disclosure of PHI, review that plan’s Notice of Privacy Practices.
When non-public personal financial information is collected in connection with a product subject to GLBA, the privacy notice supplied by the applicable financial institution or carrier may also apply. This website Privacy Notice is intended to address Personal Information that is not otherwise controlled by a more specific HIPAA, GLBA or carrier notice.
Personal Information We Collect / Sources
The categories below describe information we may collect depending on how you interact with us. Not every category is collected from every person. The public consultation form specifically asks users not to submit Social Security numbers, Medicare numbers, medical records or other sensitive identifiers.
| Category | Examples and sources |

| Consultation and coverage information | The type of coverage you want help with, preferred contact method or time, questions you submit, current coverage information, and other details you choose to discuss with an agent. |
| Identification or application information* | When needed outside the public website to process an insurance application or agent relationship, this may include government-issued identifiers, insurance identifiers, agent licensing/National Producer Number information, or other information required by a carrier or regulator. Do not send this information through the public consultation form or ordinary email unless an agent specifically provides an appropriate method. |
| Demographic and health information* | Age, date of birth, household or marital information, tobacco use, health information, prescriptions, providers or similar information that may be relevant when you voluntarily discuss or apply for an insurance product. Sources can include you, an authorized family member, an agent, a carrier or a referral source. |
| Commercial information | Insurance products or services you ask about, apply for, purchase or review, including the type of product and applicable carrier. |
| Audio or other sensory information | Recordings of calls or other communications where recording is permitted and appropriate notice or consent is provided. |
| Internet or network activity | Technical information associated with use of the Platform, such as IP address, browser or device type, pages requested, referral information and timestamps, to the extent collected by our hosting, security or analytics providers. |
| Geolocation information | Approximate location inferred from an IP address or similar technical information. The current public website does not intentionally request precise device-location permission. |
| Professional or employment information | Employment status or employer-related coverage information when relevant to an insurance question, and licensing or professional information from agents who work with us. |
| Login credentials* | If a separate customer or agent portal is offered, username and authentication information may be collected for that portal. The current public informational website does not require a user account. |
* Some information may be considered sensitive Personal Information under applicable law. We do not intentionally collect biometric identifiers through the public website.
How We Use Personal Information
We may use Personal Information to operate and secure the Platform; respond to questions and consultation requests; communicate with consumers, agents and business partners; provide insurance information or assistance requested by you; verify eligibility or information where appropriate; support applications and transactions; maintain records; improve our services; comply with legal, carrier and regulatory obligations; protect our rights, property and safety or those of others; and evaluate or complete a business reorganization, merger, sale or similar transaction as permitted by law.
We may communicate by phone, email or mail based on the information and permissions available to us. We may send text messages only when we have the consent required for that communication and within the scope of that consent. You may ask us to stop marketing communications at any time.
How We Share Personal Information
Depending on your request and the product involved, we may disclose Personal Information to service providers that help us operate our business; insurance carriers and other insurance-industry business partners; licensed agents or advisors involved in responding to your request; government agencies, regulators, law enforcement or parties to a legal proceeding when required or permitted by law; and a successor entity in connection with a merger, acquisition, reorganization or sale of assets.
We do not use the public consultation form for the purpose of selling your contact information to unrelated third parties. Some state laws define “sale” or “sharing” more broadly than an exchange for money. If a disclosure or technology we use is treated as a sale, sharing or targeted advertising under applicable law, we will honor legally required opt-out rights.
Cookies, Hosting and Similar Technology
This website does not include advertising-network, social-media pixel or behavioral advertising scripts in its site code. Our hosting and security providers may process routine technical logs needed to deliver and protect the site.
When you submit the consultation form, the information you enter is transmitted through FormSubmit, a third-party form delivery service, so the request can be delivered to info@insureorlando.com. FormSubmit’s own terms and privacy practices apply to its processing of the submission. Please do not submit Social Security numbers, Medicare numbers, medical records or other sensitive information through this public form.
The site also links to third-party services such as Medicare.gov, CMS.gov, HealthCare.gov, Google Maps and FormSubmit. Those services control their own websites and privacy practices.
Children Under the Age of 16
The Platform is not intended for children under 16. We do not knowingly collect Personal Information directly from children under 16 through the public website. If we learn that Personal Information was collected from a child under 16 without appropriate authorization, we will take reasonable steps to delete it as required by law.
Your State Privacy Rights
Depending on where you live and whether a particular privacy law applies to us, you may have rights concerning your Personal Information. These rights can include the right to know or access information, request a copy, correct inaccurate information, request deletion, obtain data in a portable format, opt out of certain sales, sharing or targeted advertising, limit certain uses of sensitive Personal Information, appeal a denied privacy request, and receive non-discriminatory treatment for exercising privacy rights.

To make a privacy request, contact us using the information below and describe the request. We may need to verify your identity before completing certain requests. An authorized agent may submit a request where allowed by law, subject to verification of the authorization. For an appeal, include “Privacy Appeal” in the email subject or written request.
Retention of Data and Data Security
We retain Personal Information for as long as there is a legitimate business, contractual or legal need, including servicing a requested insurance transaction, meeting carrier or regulatory recordkeeping requirements, resolving disputes and protecting legal rights. When information is no longer needed, we may delete or anonymize it, or securely isolate it until deletion is feasible, subject to backup and legal-retention requirements.
No security method or Internet transmission is completely secure. We use reasonable administrative, technical and organizational measures appropriate to the information we handle, but we cannot guarantee absolute security. Ordinary email is not an appropriate place to send Social Security numbers, Medicare numbers, medical records or similarly sensitive information unless an agent has specifically directed you to an approved secure method.
Third-Party Applications and Integrations
Third-party applications, websites and integrations have their own privacy practices. We encourage you to review the privacy notice of a third party before providing information directly to it. We are not responsible for the privacy practices of third-party websites that we do not control.
Updates to This Privacy Notice
We may revise this Privacy Notice from time to time. The “Last updated” date above identifies the current version. If a material change requires additional notice or consent under applicable law, we will provide it in an appropriate manner.
